Client Needs

EOCP needed to combine administrative, management and end user capabilities on a single integrated platform. The web-based application needed to support multiple application workflows, roll-up reporting, monitor continuing education requirements, manage facility classifications, administer and collect fees and annual dues, and integrate with their payment and accounting systems.

The impetus for EOCP to develop a new management system were multi-fold. The previous system resided on two separate databases relying on nightly scripts to synchronize, often resulting in the misalignment of data. Their paper application systems, annual dues, service recognition, Facility Classification and Operator Certification systems were all manually initiated, complex, labour intensive and decentralized.

Digital Strategy & Design
Requirements gathering sessions were held to understand business rules, key goals and stakeholder needs. These sessions were key to developing a roadmap for to a custom-built web solution. As part of the process, Bayleaf developed wireframes, documents and visual design templates that allowed the client to collaborate on and ‘step-through’ the proposed web application.

Automating intensive process
To move away from paper-based administration, Bayleaf focused on creating workflows for tasks based on business rules. The shift to online processes allows for significantly easier and better tracking of facility and operator regulation compliance, improved financial oversight and management, and also improved searchability and reporting across all areas of operations.

Third Party Integration – Card Payments and Accounting
Bayleaf integrated the Bambora payment gateway to their online application services which allows EOCP users to pay online, dramatically reducing cheques handling and over-the-phone credit card payments. QuickBooks integration further streamlined their accounting processes.

Cloud Support Services
Initially set up on physical servers hosted in Canada, the EOCP has transitioned to cloud hosting on Microsoft Azure. Our team of certified experts provides ongoing support and management to keep services running smoothly and efficiently.
